Minutes
January 8, 2005

Present: Herb Oliver, Carolyn Lambert, Phyllis Marley, Peter Godfrey, David Deas, Pam Precourt, Earle Simpson, Steve Harding, Cheryl Roberts, Linda Smith, Evelyn Franson, Timoth Sylvia

Absent: Anita White, Al Worden, Jean Santiago, Deborah Jenks

Herb called the meeting to order.

Minutes were read and with corrections stood approved as read.

Budget – Herb handed out the final budget for 2004. We turned back $7442, therefore we only used 80% of the budget. Herb reiterated that we have $2000 earmarked for the New England Regional Women’s Coference.

Women of the Maine Conference
Questions were asked about how “Baby Think it Over” would continue now that the Women of the Maine Coference is on sabbatical. Who is going to get it done? Which commission will be responsible for “Baby Think it Over”? The recommendations listed below were made to the Coordinating Council at a meeting on September 24, 2004:
SERRV – Commission on Witness Life
Thank Offering – Continue with the Conference but may be a part of the local church
Honored Lay Women – Selected by the Coordinating Council after 2005 supported by General Synod funds
Women in the Wild – Official camp of Outdoor Ministeries
Representative to Women’s Legistlative Council – Appointed by Commission on Witness Life
Planning for New England Women’s Celebration – Commission of Community Life
Women of the Maine Conference – celebration at Annual Meeting under the direction of Dot Grosset.

It was moved by Phyllis Marley and seconded by Cheryl Roberts that the Commission for Community Life make a recommendation to the Coordinating Council that “Baby Think it Over” be an expenditure under the Commission for Community Life. Motion Carried Unanimously.

It was moved by Linda Smith and seconded by David Deas that we accept the budget as presented today. Motion Carried

Herb stated that he would put together a packet for new members.


Outdoor Ministeries – Peter reported that the mission for this year will be “Seeds for Peace”. The curriculum is entitled “God is Calling”. He passed out the schedule for the upcoming 2005 season. Brian Breault is now back.

Small Church Mission Team – Linda reported that the team met October, November, and December. They reviewed t he grant proposals for 2005 and have awarded grants to 5 of our smaller churches. They also funded 5 churches in the Parishes of Promise program. The team is in the process of planning the Small Church event in 2005. It will be held on April 23 from 9:30am-3:30pm at the Bangor Theological Seminary. The Keynote speaker will be William Imes. The theme will be “Affording to Be a Small Church”. Some of the workshops will include: Endowments, Capital Campaigns, Planned Giving, Budget Planning A-Z, Preaching About Money, and The Stewardship Committee.

Rockcraft – Earl reitereated that Rockcraft is full on the weekend but not through the week. Peter suggested that one possible option is to sell some of the land on the other side of the road and use the money from that as an endowment. David Brown is retiring. The money in the Commission for Community Life budget is for travel, meals etc for the members on the committee.

Support Staff Network – Cheryl reported that she would be getting in touch with Cheryl Tibbetts to see what they need and how they will justify that need.

YMAT - Carolyn reported The Mid-Winter event will be February 25, 26 and 27, at the Saco Church. They continue to move forward towards the New England Regional Youth event but they are waiting for confirmation from the University of Maine – Orono if they are going to be able to hold it there. She also stated that we need to continue finding new ways to involve youth. There was some discussion about the replacement for Jean Alexander. It was moved by Earle Simpson and seconded by David Deas that the Commission for Community Life bring our concern and need for youth to the Coordinating Council. Motion Carried .
What direction is the Conference going in for the new Minister? What is happening with Confirmation Classes?

It was moved by Cheryl Roberts and seconded by Earle Simpson that we have a committee of two people ( Carolyn Lambert and Timoth Sylvia) to work with the Conference Minister, David Gaewski, on the New England Regional Youth Event in 2006 and the Commission of Community Living supports the endeavors of the Maine Conference. Motion Carried

Coordinating Council – Herb reported that the next meeting would be January 21, 2005 and the Executive Council would meet on January 20, 2005. In a telephone conference call the council accepted Jean Alexander’s letter of resignation. David Gaewski. reminded us that it is really important that we decide if we need a full-time interm minister or a transitional minister.

Lorin Cope from the National Conference will be at the Coordinating Council meeting on January 21, 2005. It is really important to know that David Gaewski is not resigning. Historically, two people serving together would resign together. David has assured us and has affirmation from the National Office that each of them was hired individually.

Herb stated that there would be a Celebration for Jean Alexander on February 26, 2005 at 1:00pm at the Waterville Church.

Herb stated that we need to ask the Coordinating Council to determine who is responsible for Samaritan Debt.

Other Business

The Commission discussed what should be done with the $7442 we have remaining in the budget. The two recommendations were to set some aside for the New England Regional Youth Event to be held in 2006 and use some so that adults who work with youth can attend an Adults Working with Youth Training at Princeton University.

It was moved by Earle Simpson and seconded by Timoth Sylvia that $3250 from the 2004 budget be placed in a designated fund to support the New England Regional Youth Event in 2006 and $1750 be placed in a designated fund to provide scholarships for people wishing to attend “Adults working with Youth” training at Princeton. Motion Carried.

Our next meeting will be held February 12 at the Waterville Church from 9:00am- Noon. YMAT will make a budget presentation at this meeting. The Small Church Mission Team will make a budget presentation at our March 12 meeting. If YMAT can not make their presentation in February they will make their budget presentation in March as well.

As their was no other business the meeting adjourned at 12:45pm
