Annual Meeting 2009

Grand Summit Hotel, Sunday River

September 24-27, 2009

 

 

REGISTRATION

The Maine Conference Registration Desk will be located in the lobby outside the Grand Ballroom.  The Registration desk will be open from 10 am to 7:00 pm Friday, and 8 am to 2 pm Saturday. 

Registration Fees:  Payment is due with your registration form.  You may save $5 on your registration fee by having your registration form and fee to the Conference Office by August 1st.   Since commitments regarding numbers must be made to the Hotel two weeks before the meeting, there can be no refunds after September 1st. 

 

LODGING:

Room reservations should be made directly with the Grand Summit Hotel at Sunday River.  Please use the Lodging Reservations form and/or call the hotel directly.  Below is a brief description of each type of room to help you in deciding which will best fit your needs:

 

Snow Cap Inn Standard ($75/night) – Economy accommodations, 2 queen beds, private bath, TV with cable.

Summit Studio ($90/night) – one room with 1 queen Murphy bed or 1 queen sleep sofa, private bath, mini or full kitchen, and amenities*

Summit Studio Deluxe ($95/night) – one room with 1 queen Murphy bed and 1 queen sleep sofa, private bath, mini or full kitchen and amenities*

Summit Standard ($95/night) – one room with 2 queen beds, private bath, coffee maker and amenities*

Summit One Bedroom Suite ($119/night) – one separate bedroom with either king or queen bed, full living room with either queen sofa bed or queen Murphy bed, full kitchen, private bath, and amenities*.

Summit Two Bedroom Suite ($155/night) – two separate bedrooms with either king or queen bed, full living room with either queen sofa bed or queen Murphy bed, full kitchen, private bath and amenities*.

Condo Studio ($95/night) – consists of queen size sleep sofa of queen size Murphy bed in the lining room and a twin bed or set of bunks off to the side, living room, full kitchen, private bath, TV w/cable and use of swimming pool. Located on second floor of Brookside and Cascades.

Condo 1 bedroom ($105/night) – consists of one private bedroom (bedding will vary), queen Murphy bed or pull out couch in the living room, private bath, full kitchen, TV w/cable and use of swimming pool.

Condo 2 bedroom (($125/night) – consists of two private bedrooms (bedding will vary) living room with queen Murphy bed or pull out couch, private bath, full kitchen, TV w/cable and use of swimming pool.

Condo 3 bedroom ($155/night) - consists of three private bedrooms (bedding will vary) living room with queen Murphy bed or pull out couch, private bath, full kitchen, TV w/cable and use of swimming pool.    

 

*Summit amenities include TV with cable, wireless internet, hair dryer, iron and ironing board, and entertainment system (CD player and VCR)

 

TAX EXEMPT STATUS

Sunday River has become much stricter about honoring tax exempt status for lodging reservations.  In order to be exempt from taxes, the lodging must be paid for with a church check and accompanied by a copy of the church’s tax exempt certificate.

 

MEALS

All meals will be served buffet style this year to enable you to choose the items and quantity that you like.  There will be a choice of offerings for each meal, but persons with special dietary needs should note them under special needs on the registration form. 

          Since we must secure meal reservations 2 weeks previous to Annual Meeting, no additional meal tickets will be available at the registration desk.  If you have a meal ticket you will not be using, please speak to us at the Registration desk, and we will try to sell it for you.

 

ANNUAL MEETING COMMITTEE MEMBERS will be wearing bright red stoles and will be available throughout the weekend with maps, information and a desire to provide cheerful help about the schedule and other details.  They are there to provide help with questions, so just ask.

 

SPEAK OUTS are the opportunity for persons to speak to any issue before delegates, clergy and visitors. A sign up sheet will be available before each Speak Out session. Please go to the Registration Desk and sign up on the Bulletin Board. One minute is allowed per person. The time limit will be strictly enforced. No repeat announcements please.

 

MESSAGES may be posted on the Bulletin Board available in the Registration Area to leave messages for church members and friends attending the annual meeting. 

 

A heated outdoor POOL with indoor/outdoor access, health club and spa are among some of the amenities at the Grand Summit Hotel. No Lifeguard is on duty thus churches/guardians are responsible for overseeing their youth in the pool. Times are posted when these facilities open and close.

 

GENERAL PARKING is located on the lower level in front of the Grand Summit Hotel, the driveway bears right as you approach the hotel. Only handicapped parking is allowed on the hotel entrance level. Unauthorized vehicles may be towed at the owner’s expense.

HANDICAPPED PARKING is available on the hotel entrance level. 

 

FAIR TRADE COFFEE will be served at the Social Hour on Saturday evening compliments of Equal Exchange Coffee.  Water pitchers will be available on all the tables during the day. In addition, the hotel coffee shop is located on the second floor for coffee lovers

 

CHILD CARE

          Child care for those under 12 years of age will be provided only during the scheduled meetings.  Use the Childcare Registration Form to reserve childcare accommodations, and return them with the parent’s registration forms.  Children should be with their parents during meals.  Meals may be ordered on the registration form.  If no childcare requests have been received by August 15th, childcare plans will be cancelled. 

 

WORKSHOPS

We will have two workshop sessions this year.  Some workshops will be offered at only one session so please plan carefully.  Please note a first and second choice for each workshop session.  .

 

BE “GREEN”

          Again this year, all printed materials for the Annual Meeting will be available on the Conference website (www.maineucc.org) for churches to print and distribute to their delegates and visitors.  Each document that will be discussed and/or voted on at Annual Meeting will be designated with an * next to its title on the website front page.  The final Agenda will be posted one week before the Meeting begins, so you should wait to print the Agenda until then.  No copies will be available at the Annual Meeting, so please print them and bring to the Meeting.

          We suggest that each of us bring our own water bottle, travel mug, etc. to use during the meeting.  This could save the landfill from hundreds of paper cups or plastic bottles. 

 

COMMUNICATIONS

          If you bring a cell phone to Annual Meeting, please turn it off or use the silent mode during the plenary and workshop sessions.  There will be a bulletin board at the Registration desk for posting messages.  The 24 hour emergency number for the hotel is 800-430-0767.

 

DISPLAYS will be located in the hallway between the lobby of the Grand Summit Hotel and the Grand Ballroom. Many of the groups / organizations/ alternative ministries affiliated with the Maine Conference will be there. We encourage you to visit the display area and learn a little more about your Conference and the wider church.

 

DELEGATE ORIENTATION is designed for all delegates, new or seasoned, who would like an overview of how the Conference Annual Meetings are run. The orientation will be on Friday, September 28, 12:30 p.m. in the Ketchum room. This orientation will include an overview of UCC Polity, Annual Meeting Procedures, and how delegates report back to their church.

 

YOUTH FUNCTIONS

All youth are invited to a Youth Gathering on Friday and Saturday evenings following evening activities. The Youth Ministry Team and the State Youth Council, a Committee of the Commissions, are the sponsors and will have chaperones available.

 

There is a swimming pool at the Grand Summit Hotel available for hotel guests. Each church is responsible for the whereabouts and lifeguard duty of their youth. 

 

Youth are required to inform their church leaders of their whereabouts at all times. All churches have full responsibility for their youth delegates and youth attending annual meeting.

 

All youth attending annual meeting must fill out a Health Release Form which should be mailed in with their Registration Form to the Conference Office.

 

Each church is allowed one voting youth delegate. Youth delegates are encouraged to sit with their church delegation during the Plenary Sessions and participate in the discussion.
