MEMO: Displays at the Maine Conference UCC Annual Meeting

As a ministry of the Maine Conference, United Church of Christ, you are invited to display information and materials about your programs at the 2008 Annual Meeting to be held at the University of Maine in Farmington on June 20-22, 2008. The display sites will be in the Main Hallway of the Olsen Student Center. Please review the enclosed Annual Meeting Display Policy.

This year we are offering a special opportunity for our attendees to spend time in the Exhibit Area. On Friday evening, following the Keynote Address, we have scheduled a Social Hour in the Exhibit Area. This will provide dedicated time for our attendees to browse, chat, and visit the exhibits and exhibitors. Your display table should be staffed during this time, approximately 8:30 to 9:30 pm, Friday June 20, 2008.

The Conference will provide coffee for the social hour, and you might consider providing finger foods at your display table to entice the attendees. Food may be ordered through the Aramark Food Service at the school, or provided by you.

There will be 3 hospitality suites available in the Student Center on Friday and Saturday evenings for anyone who would like to entertain a smaller group of attendees. If you are interested in reserving these facilities, please call Sue Stevens at the Conference Office.

Attached is the Display Space Request form to request table space for your display. This year we will have combined the space reservation form and request to sell items or solicit funds. Please complete the appropriate section(s) of the form, as necessary. Please mail or email the form below requesting your table space suestevens@maineucc.org before May 1, 2008.

Your display may be set up beginning at 10:00 a.m. on Friday and should be remain available until the beginning of the Worship Service on Sunday morning. Your display space will be designated prior to your arrival. Displays with electrical needs will be assigned on a first-come, first-served basis, as there are limited outlets on site. We would recommend that you bring a sheet or covering for your display table(s) for use overnight, to avoid the disappearance of your display materials.

Please note that although the form below allows you to request a number of tables, I cannot guarantee over 3 tables per display. The college has a limited number of tables available. If you feel that you need more room, you may bring additional tables with you to supplement your display. We would appreciate it if smaller displays could share space with other small displays.
